Pilot Clinic Program — among the first 10 clinics in Québec

The digital exoskeleton for your dental clinic.

It doesn't replace your team or your software: it works on top of them. Alongside Progident and Dentitek, it fills gaps in the schedule by SMS, takes care of the front desk and drafts your clinical notes at the chair — in English or French.

No credit card · No migration · Works alongside your practice software

Before · During · After

Help at every stage of the visit.

Before the visit

The chair doesn’t stay empty.

A gap in the schedule? Patients on your waitlist get a text and the first to reply YES takes the slot. Confirmations, reminders and insurance cards follow the same path.

During the visit

The note is drafted at the chair.

You dictate naturally; the system drafts the note in the right format — operative, SOAP, exam or surgical. You review, approve and sign.

After the visit

Patients come back, and talk about you.

A post-visit email you approve before it goes out, then a Google review request the day after the appointment.

Before the visit — Smart Waitlist

A gap in the schedule? The slot is offered within minutes.

As soon as an appointment opens up, SmileFlow texts the right patients on your waitlist. Your front desk stops chasing empty blocks one phone call at a time.

  • T0 confirmation: The patient confirms with a simple YES as soon as the appointment is booked.
  • Automatic reminders: 7 days before, the day before and the same day. A patient can reply RESCHEDULE instead of calling.
  • Insurance card ahead of time: A one-time secure link; the patient photographs the card, your team reviews it. Photos are deleted after validation.

During the visit — The clinical scribe

Go home on time. The scribe drafts, you sign.

Dictate during or after the appointment. The scribe drafts the note in the format of the procedure — operative, SOAP, exam / recall or surgical — in English or French. You review, edit, approve and sign. Clinical judgment stays entirely yours.

OperativeSOAP (Emergency)Exam / RecallSurgicalFREN
S — Subjective
Pain on chewing, tooth 47, for 5 days, 7/10.
O — Objective
PA radiograph: deep DO caries, tooth 47. Cold: positive, lingering. Percussion: tender.
A — Assessment
Symptomatic irreversible pulpitis, tooth 47.
P — Plan
Endodontic treatment, tooth 47, next week. [To verify: consent]

Four formats — the one that fits the procedure

Operative, SOAP for emergencies, exam / recall or surgical: structures built around the record-keeping expected by the ODQ. Switch format in one click, without dictating again.

Dictate in French, get the note in English or French

Speak the way you talk to your assistant, Québec jargon included. FDI tooth numbering in both languages (tooth 26, never #14).

Nothing made up

A dose, a consent or a tooth that wasn’t dictated is flagged “[To verify]”. The note can’t be signed until it’s completed.

You review, approve and sign

Nothing is final without you. You keep the last word on every note — and shorter evenings.

A second pair of eyes on your radiographs.

Upload a panoramic, cephalometric or periapical image. Areas of interest are flagged in seconds; you keep or dismiss each observation, and nothing reaches the patient record without your approval.

Reading aid only. It does not replace clinical judgment and is not a diagnostic tool.

From the clinical note to patient follow-up.

Once the note is approved, SmileFlow prepares a plain-language email for the patient: post-op advice and next steps. You review and approve; nothing is sent without you. The day after the appointment, a text invites the patient to leave a Google review.

Questions dentists ask us

Does SmileFlow work with Progident or Dentitek?

Yes, alongside them. SmileFlow does not replace your practice software and never touches your billing. It handles reminders, the waitlist, note drafting and patient follow-up next to the tools you already use.

Do we need to migrate our records?

No. There is no record migration and no risky switch-over. SmileFlow sits on top of your current workflow.

Which note formats does the scribe draft?

Four, built around the record-keeping expected by the Ordre des dentistes du Québec: operative notes (restorations, crowns, endodontics), SOAP for emergencies and consultations, exam / recall, and surgical notes (extractions, implants). Notes come out in English or French, always with FDI tooth numbering. You can switch format or language in one click, without dictating again.

What if I forget to dictate something?

The scribe does not make it up. A missing anesthetic dose, consent or tooth number is highlighted as "[To verify: …]", and the note cannot be signed until you complete it.

Can I dictate in English?

Dictation is currently tuned for French, including Québec dental jargon. The note itself can be produced in English. Tell us if English dictation matters to your clinic: it is on our list.

How do you handle Law 25 and privacy?

SmileFlow is designed for Québec’s Law 25: clear consent before any message, minimal data collection, and data hosted in Canada. We do not claim to take over your professional obligations — we help you meet them.

See it with your own schedule.

20 minutes, on your cases. We show you the waitlist, the scribe and the follow-up — then you decide.
