AI clinical scribe
AI Dental Scribe: Your Clinical Note Is Drafted While You Dictate
No more 6:30 p.m. paperwork. You dictate at the chair, in English or French; the scribe drafts a structured note, records teeth in FDI numbering and writes a clear email for the patient. You review, approve and sign: nothing goes in the record without you.
Pilot Clinic Program — first 10 clinics
Documentation that drags on after the last patient
Owner dentists too often end the day catching up on clinical notes. That time is not billable, and it comes straight out of their personal life.
Written from memory at the end of the day, a note can miss an anesthetic dose, a consent or a tooth number: exactly what the Ordre des dentistes du Québec asks you to record.
From dictation to signed note
Step 1
You dictate
During or after the procedure, naturally, with Québec dental terminology.
Step 2
The draft is prepared
In the procedure’s format: operative, SOAP, exam / recall or surgical. Anything not dictated shows as “[To verify]”, never made up.
Step 3
You review, approve and sign
A quick review, as the ODQ requires. The note cannot be signed while an item to verify is still open.
Step 4
You copy it into your PMS
The signed note is copied into your PMS record or exported as a PDF. The patient email only goes out with your approval.
Note typed at night or note drafted at the chair
Note typed at night
SmileFlow scribe
Note typed at night : Written from memory after the last patient
SmileFlow scribe : Drafted while you dictate, at the chair
Note typed at night : Format varies from one dentist to another
SmileFlow scribe : Procedure-specific format, FDI numbering
Note typed at night : An omission goes unnoticed
SmileFlow scribe : A missing item is flagged “[To verify]”

SmileFlow scribe : Plain-language email prepared for the patient, sent with your approval
The signed note goes into your PMS
SmileFlow works alongside Progident, Dentitek, ExcelDent, DentoNovo, AD 2000 or any other PMS: no migration, nothing to install on the clinic's server, and it never touches RAMQ billing or CDAnet. Your PMS stays the reference for the schedule, records and billing.

Illustrative example, not a measurement: time saved depends on your procedures and how you dictate. The dentist remains solely responsible for the note they sign.

Frequently asked questions
Does the scribe write the note for me?
No. The scribe prepares a structured draft. You review it, adjust it, approve it and sign it, as the Ordre des dentistes du Québec requires. The final note and clinical judgment remain entirely yours.
Which note formats does the scribe prepare?
Four: operative notes (restorations, crowns, endodontics), SOAP for emergencies and consultations, exam / recall, and surgical notes (extractions, implants). Notes come out in English or French, with FDI numbering.
What if I forget to dictate something?
The scribe does not make it up. A missing anesthetic dose, consent or tooth number is flagged “[To verify]”, and the note cannot be signed until you complete it.
How does the note get into my PMS?
Once signed, the note is copied into your PMS record (Progident, Dentitek, ExcelDent, DentoNovo, AD 2000 or any other PMS) or exported as a PDF. SmileFlow is not plugged into your PMS: it never writes to it on its own.
Which plan includes the scribe?
The Pro plan, at $449 per month with the first chair included ($150 per additional chair), unlimited practitioners. The 14-day free trial includes the scribe, with no credit card.
